Top-Up Devices

Setting up a top-up device for a client

​​​​​​​​​1. Assigning and managing devices for a specific client

​

To allocate a top-up card to a client you need to be in the Run a Client Session section of the ONE app. You should have the specific client selected. At the top of the page is the menu to choose the current action, so click on the Top-Up Schedule tab.

When you have entered the Top-Up page for a new client you will see a simple statement saying that no device has yet been assigned to the current client. You can click on the Add Top-Up Device button to do so.

This section then expands to show more instructions on how to scan a top-up device, and the attached scanner on your One unit becomes active.

If you hold the top-up device over the ONE logo on the front of the hardware unit then the scanner should read it and the number will be displayed in place of the WAITING FOR SCAN text:

NB If you do not have the device immediately present (or if there is some kind of reason why the scanner isn't working/available) then you can alternately press the Enter Device ID via Keyboard button and this will present you with a simple input box where you can manually enter the ten-digit code. Each top-up device, as delivered by WDS, comes in a plastic wallet with a sticky label which provides the ten-digit code.

Once you press the Assign This Device to <Client Name> button then the association with the device and the client is made, and the screen updates to show you a display grid containing the top-up device entry. However, on top of this is display an edit box which allows you to define which program is to be sent, and for how long.

In this edit box you can choose the program to be run from the drop-down list, and you can choose the date at which the daily transmissions will continue until.

There is also an identity note field, which by default is given the name of the current client and a sequence number - so if there is already a device #1 then the system will tag subsequent devices as #2, #3 etc. This feature is actually of more use in the case of scheduled devices which are not allocated to a specific client and to which a note can be added e.g. a shared clinic card for general energy balancing.

Once you have updated the details in this form press the Save and Close button - this information will then be written back to the database and after a couple of seconds the info grid will update to reflect the new information.

The above grid shows the single device just added, but will expand to show multiple entries if additional devices are added. If you click on a single row then the additional buttons will be enabled. Alternately, you can double-click the row in the grid to open the edit box that was presented when you first added the device. This is useful for either cancelling the schedule early, or for extending the end date. You can also change the program being transmitted.

Because this grid relates specifically to the current client you can also see any devices which have expired or been cancelled. These inactive devices are de-emphasised from active devices but you can still double click the row and set a new transmission schedule if you choose to do so.

Devices run on a 24-hour basis

Please note that top-up devices are charged on a 24-hour basis. Therefore if you activate create a schedule at 16:40 pm then it will terminate at this same time of day. This is also the case if you cancel the schedule i.e. you cancel the schedule at 10:10 am then it will stop at 16:40 pm later in the day. If you were to terminate it at 22:19 pm then it will actually stop running at 16:40 pm the next day.

When the client is finished

​Hopefully you will soon have a client who has completed the program cycle and will be feeling clear of the issue that was being presented. If you take the top-up device back then you can choose the De-Link Device From Client option and this will then reset the card back to being unattached to any specific client. We usually give the card a wipe with alcohol (in this post-viral era) and pop it back in the stack of usable cards. However, if the card is damaged or lost then you can choose to delete the card forever from the database.
